Job Purpose Operations Assistantions Assistants are responsible for supporting the Operations & Maintenance teams. Working within your area of responsibility you will provide support of the Management Team by acting as a coordinator. You will ensure that all identified training needs are fulfilled, including booking training courses, communicating arrangements, organising accommodation and subsistence if required. You will need to keep accurate records to ensure that compliance is met with regard to training, eg Manual Handling and similar Health & Safety training. You will coordinate all the activities to ensure the site is Health & Safety compliant including taking part and assisting in inspections. You will also coordinate and control the processes in relation to Company vehicles, including ensuring MOT's are current, recording any police notices and completing to ensure legal compliance. The role is varied and integral to an efficient site operation. Job Accountabilities Acting as the coordinator for your area you will be responsible for liaising between various departments and individuals to ensure that all training and other administration activities are completed accurately and in a timely manner. You will be a central point of contact to ensure that everything runs smoothly and your responsibilities will include: * Notifying of nominated training courses, completion of booking form. Contact for any problems on the day of training, (sickness, none attendance, directions.) * Liaise with outside company to book meals & overnight accommodation for staff on training, where required. * Arrange training, both internal and external * Train and assist other OA's. * Act as H&S administration Focal leader - ensure the statutory obligations for record keeping are completed. * Support field staff on Outlook, Word & Excel and act as first point of contact for any queries on Computer & software problems. * Keep Team brief signing-in record sheet of all attendees, detailing each monthly topics briefed. * Preparations for Audits (ensure all legal requirements are ready to be inspected/audited.) * Order / issue PPE to staff as required - as per strawman and maintain appropriate records. * Arrange Health surveillance appointments with field staff. * Support collection of all Gas Monitors and return back to correct sites after they have been serviced. * Assist with procurement processes i.e. resolve mismatch / NRIs on field staffs orders, if requested replacement purchase card ordering. * Raise e-proc/CASC requests as requested. * Resolve non-invoice payment requests. * Act as Liaison between transport & your team for service of vehicles & plant/MOT's/Tax Discs. * Employees-direct Expert User and focal point for support. * Support Financial analysis. * Provide Admin Support for Area Management Team and local Managers - as required. * Raise Purchase orders when required by managers and support field staff with these requests. * Provide cover for other OA's (Vacancies, sickness & Holidays.) Assistant Contracts Manager £350 P/D 6 months (rolling contract) Glasgow ScottishPower Renewables is currently constructing the East Anglia ONE Offshore Windfarm. With an investment of £2.5 billion, our East Anglia ONE project will stimulate the East Anglia region and support thousands of skilled jobs . Supporting the East Anglia ONE ("EA1") Commercial Director and Contracts Managers with the pre and post contract commercial administration of major contracts, the Assistant Contracts Manager will own and be responsible for the effective and efficient administration of contract management activities, liaising with all internal stakeholders to ensure communication and governance processes, payment, performance monitoring, and cross-package contract reporting and initiatives are executed properly and in a timely manner. Responsibilities Support Contract Managers and Package Managers in all aspects of day to day contract management, including drafting Work Orders and managing payment application processes, ensuring all payments are accurate and reflect agreed performance/payment mechanisms. Set up and maintain the contract administration arrangements at a Package level, including financial performance monitoring, variation tracking, and Communication Note registers. Conduct contractual monitoring across the EA1 Package Teams on behalf of the Commercial Director, identifying initiatives for improving data quality. Report status of contract performance to EA1 Contract Management Team, Package Managers, and EA1 Senior Management Team as required Maintain all Contract Management Team trackers, reports, and registers, ensuring they are complete and up to date. Identify opportunities to streamline reporting, and any initiatives for improved reporting. Coordinate internal contract approval processes, liaising with Procurement and Legal as required and ensuring that all EA1 and ScottishPower Renewables governance procedures are properly applied by the Contract Management Team and Package Team. Support the Offshore Transmission Operator ("OFTO") Transaction Team and Investment Office with centralising all contract documentation, updating the EA1 contracts register on an as required basis as the Project progresses; developing a strategy with the Project Services Team for long-term storage of hard copy contract documentation. Manage all requests for Non-Disclosure Agreements and Novation Agreements, ensuring they are executed in a timely manner to support Project programme requirements. Liaise with Global Contract Management Team colleagues on other contracts/projects to ensure sharing of knowledge and consistency of approach. Desirable Experience of performance monitoring and reporting against policy/project/contractual or SLA requirements Experience of maintaining up to date records and data logs Experience of managing supplier payment processes, and drafting contract certificates and work orders Strong self-performance management and delivery focus with the ability to balance conflicting requirements of quality, cost and time and make decisions in tight timescales.
